Who we are

One Loop is a trading name of Glynn Root, a sole trader based in the United Kingdom. Business address: 9 Rodney Close, Gosport, PO13 8EJ, United Kingdom. Email: hello@oneloopsystems.co.uk.

In this notice, “we”, “us” and “One Loop” mean Glynn Root trading as One Loop. We are the controller of the personal data described below.

What we collect

When you use the contact form or email us, we collect the details you choose to give us:

  • your name
  • your company
  • your work email address
  • your role
  • the content of your message, and any later correspondence

How the contact form works

When you press “Start a conversation”, the details you entered are sent securely through Web3Forms, a form-delivery service, which forwards them to our business email inbox. The website itself does not store your details.

Why we use it, and our lawful basis

We use your details to reply to your enquiry, to discuss One Loop with you and, if you ask, to arrange a demonstration or proposal. Our lawful basis is legitimate interests: responding to people who contact us about our services. If you go on to become a customer, we may also rely on the steps needed to enter into or perform a contract with you.

We will not add you to a marketing mailing list without your consent.

Who processes it

We use trusted providers to run our business:

  • Web3Forms receives contact form submissions and forwards them to our email.
  • Microsoft (Microsoft 365) stores and delivers our email.
  • Cloudflare hosts this website and protects it from abuse. Cloudflare processes technical information such as IP addresses to deliver and secure the site.

These providers may process data outside the UK. Where they do, they use safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or adequacy regulations.

We do not sell your personal data.

How long we keep it

We keep enquiry emails and the details in them for 12 months from our last contact with you, then delete them. If you become a customer, we keep the information needed to provide our services and meet our legal obligations for as long as required.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you
  • ask us to correct inaccurate data
  • ask us to delete your data
  • object to our use of your data, or ask us to restrict it
  • ask for your data in a portable format, where this applies

Complaints

If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk, 0303 123 1113.

We may update this notice from time to time. The date at the top shows when it was last changed.
